Office Manager (Burbank)

We are currently seeking a driven, self-motivated Office Manager who is efficient and comfortable dealing directly with potential customers and project manger in the company.

This candidate must have prior construction experience and have worked directly in the construction field office.

In this position, you must be able to multi-task, while maintaining complex schedules while preforming and managing administrative support, have the knowledge to set up new accounts, assign PO’s, approve and reconcile time and expense all while getting items ready for the next day’s activities. The ideal candidate for this job is resourceful, a good problem solver and very well organized. You must have the ability to steadily complete and manage your workload in a timely manner in order to efficiently stay on task accordingly.

We are a small privately held company and may require some extended hours and weekends during peak seasons.

The ideal candidate must be reliable able to work independently and able to resolve issues on his/her own.

Advanced experience with QuickBooks, Excel, PDF, PowerPoint, Word is a MUST

Responsibilities:

  • Records, files, and keeps status up to date on projects

  • Assists in obtaining permits and City business licenses

  • Maintains project records

  • Maintains subcontractor contacts

  • Assembles and alerts Management of crew’s certs expiration dates

  • Maintains various job trackers (Excel)

  • Collect, assemble, and report production weekly

  • Process billing (units/firm bid)

  • Updates job tracking reports

  • Prints drawings, documents, monitors, logs, and submits new bids

  • Reports weekly equipment usage to equipment department

  • Provides assistance to Project Manager, Supervisors, and field employees as needed

  • Performs other related duties as assigned.
     

Qualifications:

  • Highly Proficient with Microsoft suite (Excel, Word, Outlook etc.)

  • Highly Proficient with QuickBooks - Contractors Edition

  • Organized and punctual

  • Fast learner

  • Self-starter - Comfortable taking on responsibilities without having to be continually directed

  • 3-5 years of relevant experience

  • Good people skills
     

Able to comfortably interact with management, fellow employees, third parties, etc.
